Roles, invites and plan limits

Every organization in the Ice Scheduler has one owner, and any number of admins, editors and viewers.

What each role can do

Viewer can view the schedule, filter it, export to CSV, create their own personal saved views, and turn off a calendar feed or public share link on a view they personally created.

Editor can do everything a viewer can, plus add, edit and delete schedule entries, run CSV imports (and undo them), manage ice rates, and enable or rotate calendar feeds and public share links.

Admin can do everything an editor can, plus edit the organization's info and logo, manage custom columns, manage members (change roles, remove members), create and revoke invites, and create or edit organization-wide saved views.

Owner can do everything an admin can, plus delete the organization entirely.

Personal saved views are private to whoever created them — even an admin can't see another member's personal views.

Inviting people

From Settings → Invites → Create Invite, you choose a role for the invite (Admin, Editor or Viewer — Editor is the default). You can optionally attach an email address: if you provide one, the invite is emailed to that address and defaults to single use, but the link itself works for anyone who has it either way. You can also set an expiry (7, 14, 30 or 90 days, or never) and an optional maximum number of uses. After creating the invite you get a link to share. Invites can be revoked at any time, and the invites list shows each one's status — Active, Expired, or Fully used — along with how many times it's been used.

Creating invites requires Premium. The person accepting an invite also needs Premium (or higher) on their own account — if they don't have it, they'll see an upgrade prompt when they try to accept.

What happens if a Premium subscription lapses

Nobody ever loses the ability to view their schedule. Beyond that, what happens depends on whose subscription lapsed:

  • If the owner's Premium lapses, the whole organization becomes read-only for every member until it's renewed. Banners explain this to the owner and to the rest of the team.
  • If a member's own Premium lapses, only that member becomes read-only — the rest of the organization is unaffected. A "Lapsed" badge appears next to that member on the members list.

Renewals can take a few minutes — about five — to take effect and lift the read-only state.

A one-person organization is never frozen this way. A solo owner on the free plan keeps full editing ability, limited only by the entry cap described below; the lapse rules above only start applying once a second member joins. Calendar feeds and public share links keep working through a lapse in either case.

Everything else is available on the free plan for a solo owner: the schedule grid and calendar, filters, saved views, CSV import and export, ice rates and cost tracking, cancellation/cost/custom reports on screen, notes, mentions and the activity feed.

Where settings live

Click the gear icon on your organization to open Settings — a single page with sections for Organization Info, Organization Logo, Members, Custom columns, Invites, and a Danger Zone.
